AgileArchive Security

Archive SharePoint Content with Confidence

AgileArchive is designed for organizations that need to reduce SharePoint storage growth without losing control, visibility, or confidence in their archived content.

Your documents remain in your Microsoft 365 and Azure environment. AgileArchive does not require your files to be moved into a third-party SaaS repository, and it does not require broad tenant-wide access to all SharePoint content. The solution is built around controlled permissions, tenant-bound licensing, Azure storage, auditability, and safe operational behavior.

The goal is simple: help you lower SharePoint storage costs while keeping your organization in control.

Your Data Stays in Your Environment

AgileArchive is designed to run inside the customer’s Azure environment and archive SharePoint documents to Azure Blob Storage owned and controlled by the customer.

That means your archived content is not copied into an AgileArchive-owned cloud repository.

Customer benefit:

  • Your organization controls the Azure subscription and storage account.

  • Archived content remains under your cloud governance model.

  • Access, retention, monitoring, backup, and compliance policies can be managed within your Microsoft and Azure environment.

  • You are not dependent on a third-party storage platform to hold your archived documents.

AgileArchive helps manage the archive process, but the customer remains in control of the data.

Least-Privilege SharePoint Access

AgileArchive is designed to use Microsoft Entra ID application permissions with controlled SharePoint site access.

Rather than requiring unrestricted access to every SharePoint site, AgileArchive can be configured to access only the sites approved for archiving.

Customer benefit:

  • Access can be limited to selected SharePoint sites.

  • Administrators can grant and revoke site access.

  • AgileArchive does not need broad access to unrelated SharePoint content.

  • Archive operations are aligned with a least-privilege security model.

This helps customers adopt AgileArchive without giving the application more SharePoint access than it needs.

Tenant-Bound Licensing

AgileArchive licenses are bound to a customer’s Microsoft 365 tenant ID.

For purchase order, invoice, or enterprise purchases, AgileArchive uses a signed, human-readable license file. The license shows the customer name, tenant ID, license tier, licensed archive capacity, issue date, expiration date, and purchase reference.

The license file is digitally signed. If someone changes the tenant ID, expiration date, tier, or licensed terabytes, AgileArchive detects the change and rejects the license.

Customer benefit:

  • License terms are readable and transparent.

  • Licenses cannot be silently altered.

  • Licenses are tied to the customer’s tenant.

  • Manual license files support purchase order and invoice-based procurement.

  • Credit card purchases can be applied automatically through secure payment processing.

This gives customers a clear and auditable licensing model.

Secure Credit Card Purchase Flow

For customers who purchase AgileArchive through the License & Usage page, credit card processing is handled through Stripe.

AgileArchive does not need to store credit card numbers. Payment confirmation is processed through secure Stripe events, and license activation is based on verified payment completion.

Customer benefit:

  • Credit card details are handled by Stripe, not stored inside AgileArchive.

  • License activation is based on validated payment events.

  • Professional subscriptions and 1 TB add-on purchases can be applied automatically.

  • Customers can view current license tier, licensed capacity, usage, and renewal date from the License & Usage page.

This provides a clean purchase experience while keeping payment processing isolated from archive operations.

Signed License Entitlements

AgileArchive uses signed license entitlements for both manual and automated purchases.

For purchase order or invoice customers, AgileMatics can provide a readable signed license file.

For credit card customers, AgileArchive can generate and apply the signed license entitlement automatically after successful payment processing.

Customer benefit:

  • One consistent license validation model.

  • Manual and automated purchases use the same trust framework.

  • License records are tamper-resistant.

  • Capacity upgrades can be tracked and audited.

  • Add-on storage purchases can be reflected in the customer’s licensed capacity.

This creates a predictable and secure licensing foundation for both small customers and enterprise buyers.

Archive Access Does Not Depend on Active New Job Licensing

AgileArchive licensing is designed to control entitlement for active archive operations, not to lock customers out of their archived files.

If a license expires or the customer exceeds licensed capacity, AgileArchive can pause new archive activity and display an upgrade or renewal message. Existing archived documents should remain accessible according to the customer’s Azure storage access model and AgileArchive configuration.

Customer benefit:

  • Existing archived content is not held hostage.

  • Customers retain access to previously archived files.

  • License expiration affects new archive processing, not ownership of the archive.

  • Administrators have time to renew, purchase add-on capacity, or adjust usage.

This approach supports responsible licensing without creating unnecessary business disruption.

Azure Storage-Based Archive Design

AgileArchive stores archived SharePoint documents in Azure Blob Storage.

Azure Blob Storage provides a durable, scalable storage foundation for large document archives. AgileArchive preserves archive metadata and supports structured storage layouts designed to support restore, reporting, and operational traceability.

Customer benefit:

  • Archived documents are stored in Azure.

  • Storage can scale as archive volume grows.

  • Archive location and metadata can be tracked.

  • Customers can align storage tiers with cost and access requirements.

  • The archive can be governed using Azure-native controls.

AgileArchive is designed to help customers shift aging SharePoint content into a lower-cost storage model without losing manageability.

Controlled Restore Model

AgileArchive is designed so that archived content can be restored through controlled application logic rather than unmanaged manual file movement.

The restore process can use archive metadata to locate the correct blob, reconstruct the SharePoint location, and restore the file in a predictable manner.

Customer benefit:

  • Restore actions can be controlled and audited.

  • Archived content remains traceable to its original SharePoint location.

  • Administrators can manage restore activity through the application.

  • The archive is structured to support operational recovery.

This helps customers reduce storage consumption while maintaining a practical path back to SharePoint when needed.

Job Safety and Operational Controls

Archive jobs can involve large document libraries, long-running operations, and significant SharePoint activity. AgileArchive is designed with operational safety controls to reduce risk.

These controls may include job scheduling, pause and resume, job status tracking, concurrency limits, skip logic, and SharePoint throttle protection.

Customer benefit:

  • Archive jobs can be scheduled during appropriate windows.

  • Administrators can pause and resume jobs.

  • Large jobs can be tracked over time.

  • Files that should not be archived can be skipped and reported.

  • Concurrency can be controlled to reduce operational pressure.

  • SharePoint throttling can be detected and handled more safely.

AgileArchive is built for real-world SharePoint environments where safety and predictability matter.

SharePoint Throttle-Aware Processing

Microsoft 365 services can throttle applications that make too many requests too quickly. AgileArchive is designed with throttle-aware processing to help protect the customer environment.

When throttling is detected, AgileArchive can reduce activity, pause jobs, and resume more cautiously.

Customer benefit:

  • Helps avoid excessive pressure on SharePoint.

  • Reduces the risk of failed archive jobs.

  • Supports safer long-running archive operations.

  • Gives administrators more confidence when archiving large libraries.

This is especially important for organizations with large document libraries or multiple archive jobs.

Transparent Reporting

AgileArchive is designed to give administrators visibility into archive activity, storage savings, skipped files, and job progress.

Customer benefit:

  • Administrators can see what was archived.

  • Skipped files can be reviewed with reason codes.

  • Storage reduction can be measured.

  • Job status can be tracked.

  • Reports can support internal review, audit, and planning.

Security is not only about access control. It is also about knowing what happened.

Designed for Enterprise Review

AgileArchive is built with the assumption that security, compliance, infrastructure, and Microsoft 365 administrators may all review the solution before adoption.

The architecture is designed to be understandable:

  • Customer-controlled Azure storage

  • Tenant-bound licenses

  • Signed license files

  • Controlled SharePoint site access

  • Public-key license validation

  • No customer credit card storage inside AgileArchive

  • Operational job controls

  • Archive reporting

  • Restore traceability

Customer benefit:

  • Easier internal security review.

  • Easier procurement review.

  • Easier Microsoft 365 administrator approval.

  • Easier explanation to business stakeholders.

AgileArchive is intended to be practical, transparent, and defensible.
