This Privacy Policy explains how AgileMatics, LLC (“AgileMatics,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information in connection with the AgileArchive website, the AgileArchive registration and download service, and related support and communications (together, the “Services”). It also explains your privacy rights and how to exercise them.

This Policy does not apply to the content that AgileArchive archives within your own Microsoft 365 and Azure environment. As described in the AgileArchive Software License and Subscription Agreement, archived content stays within your Customer-controlled environment; AgileMatics does not host, control, or take custody of that archived content unless separately agreed in writing.
 

1. Who we are

2. Information we collect

2.1 Registration and download information. When you register to download AgileArchive, we collect the information you submit, which includes your business email address, name, company name, Microsoft 365 tenant domain, estimated archive size, and your acceptance of our Terms & Conditions and this Privacy Policy. We also record the date and time of your request and the IP address from which it was submitted.

2.2 Download and security information. To deliver and secure your download, we generate a one-time, time-limited download link and store a cryptographic hash of the associated token (not the token itself), along with the status of your request and related timestamps.

2.3 Communications and support. If you email us, request support, or otherwise communicate with us, we collect your contact details and the contents of your messages.

2.4 Purchase and account information. If you purchase AgileArchive (for example, through Azure Marketplace or an order), we receive order and billing-related information through the applicable channel. Payment card details are processed by the marketplace or payment provider, not by AgileMatics.

2.5 Website usage information. Our website is hosted on Wix. Wix and any analytics or cookie technologies we use may collect standard usage information such as IP address, device and browser type, pages viewed, and referring URLs. We do not intentionally collect special categories of personal data, and we ask that you not submit them through the Services.
2.6 Deployed software license status. The AgileArchive application you deploy in your own Microsoft Azure environment may periodically contact our registration service to check its license status (for example, to recognize a renewal). These requests transmit only your Microsoft Entra (Azure AD) tenant identifier. They do not include any document content, file names, or end-user personal data. This license check is optional and can be disabled in the application's configuration; when it is disabled — or when no registration-service URL is configured — the deployed application makes no such calls to us.
 

3. How we use information

We use personal information to: provide the registration and download service, generate and deliver your download link, and operate the Services; communicate with you about your request, the software, updates, and support; verify eligibility (for example, distinguishing business from consumer email domains) and prevent fraud, abuse, and security incidents; respond to inquiries and provide customer support; pursue our legitimate business interests, including improving the Services, understanding usage, and marketing AgileArchive to business contacts (subject to your choices); and comply with legal obligations and enforce our agreements.
 

4. Legal bases (EEA/UK)

Where the EU or UK GDPR applies, we process personal information on the following legal bases: performance of a contract or to take steps at your request before entering a contract (providing the download you requested); our legitimate interests (operating, securing, and promoting the Services to business users); your consent (where required, for example certain marketing or cookies); and compliance with legal obligations. Where we rely on consent, you may withdraw it at any time.

6. International transfers

We are based in the United States and our service providers may process information in the United States and other countries. Where we transfer personal information from the EEA, UK, or Switzerland, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses or another lawful transfer mechanism. 7. Data retention

We retain registration and related records for as long as needed to provide the Services, for our legitimate business purposes, and to meet legal, accounting, or reporting requirements, after which we delete or de-identify them. 8. Security

We use technical and organizational measures designed to protect personal information, including encryption in transit, storage in access-controlled Microsoft Azure services, storing only a hash of download tokens rather than the tokens themselves, and limiting access to authorized personnel. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
 

9. Your rights and choices

Depending on where you live, you may have rights to access, correct, delete, or port your personal information; to object to or restrict certain processing; and to withdraw consent. To exercise these rights, contact us at support@agilearchive.com. We will respond as required by applicable law and will not discriminate against you for exercising your rights.

EEA/UK: you may also lodge a complaint with your local data protection authority.
 

California (CCPA/CPRA): you may request access to, deletion of, and correction of your personal information, and information about our collection and disclosure practices. We do not sell or “share” personal information for cross-context behavioral advertising. [Confirm.] You may exercise these rights at support@agilearchive.com.

Marketing: you can opt out of marketing emails at any time by using the unsubscribe link or contacting us. Transactional messages (such as your download link or support responses) are not marketing.
 

10. Cookies and analytics

Our website uses cookies and similar technologies provided by Wix and [any analytics tools] to operate the site, remember preferences, and understand usage. 11. Children’s privacy

The Services are intended for businesses and are not directed to children. We do not knowingly collect personal information from children under [16/18]. If you believe a child has provided us personal information, please contact us and we will delete it.
 

12. Third-party links and services

The Services may link to or rely on third-party products and services (such as Microsoft Azure, Microsoft 365, and Azure Marketplace) that have their own privacy practices. This Policy does not apply to those third parties, and we are not responsible for their practices.

13. Changes to this Policy

We may update this Privacy Policy from time to time. We will post the updated Policy with a revised “Last updated” date and, for material changes, provide additional notice where appropriate. Your continued use of the Services after the effective date constitutes acceptance of the updated Policy.
